Information we collect
We collect information that you choose to provide through registration, vendor, affiliation, credential assessment, contact, and ministry forms. Depending on the form, this may include names, contact information, church and pastoral information, ministry and credential history, education, event needs, application statements, payment references, signatures, photographs submitted for personalized event graphics, and administrative correspondence.
Our server may also record limited technical information needed to protect the forms, including a one-way hash of the submitting internet address, browser information, submission time, and source page. We do not request card numbers, bank account numbers, full Social Security numbers, or complete church tax-identification numbers through Beth-El’s public website forms.
How information is used
Information is used to administer events, reconcile payments, communicate confirmations and next steps, prepare registrant-requested event graphics, review vendor, credential, and church-affiliation submissions, respond to requests, support safety and accountability reviews, prevent duplicate or fraudulent submissions, and maintain records required for the work of the fellowship.
Beth-El does not sell personal information. Information is shared within Beth-El only with leaders, staff, registrars, coordinators, or reviewers who need it for an authorized purpose. A personalized attendee graphic is delivered privately to the registrant and is not posted by Beth-El through this website workflow.
JotForm, Google, email, and payment services
The credential assessment is administered through JotForm and is subject to JotForm’s privacy practices. Other website forms are relayed to administrative Google Sheets and may generate email through Google services. When you choose Cash App, Givelify, PayPal, Hilton, Facebook, Instagram, or another linked service, that provider receives information under its own privacy terms. Beth-El does not receive or store the full payment credentials used on those services.
Your choices and corrections
You may decline optional communications, skip the personalized attendee graphic, ask what information was submitted, or request a reasonable correction by calling the National Headquarters at (410) 466-8298. Legal, financial, safeguarding, credential, and organizational records may need to be retained even when a communications preference changes.
Security, screening, and retention
Beth-El uses access controls, private server locations, registration-bound links, limited administrative sharing, and periodic record review to protect submitted information. No internet transmission can be guaranteed completely secure. Background checks for affiliation applicants are handled through a separate authorized process; sensitive identity information needed for that screening must not be entered into the public application.
Administrative records, uploaded photographs, and generated graphics are reviewed at least annually and retained only as long as reasonably needed for ministry operations, legal obligations, financial accountability, credential administration, safeguarding, dispute resolution, and historical records.
