Holy Convocation

Registration policy.

This policy explains how Holy Convocation registrations, payment records, attendance information, and event communications are handled.

Effective September 1, 2026

One registration for each person

A separate, accurate registration is required for every attendee. A confirmation number acknowledges that the registration record was received; it does not by itself prove that payment has cleared, reserve hotel accommodations, or authorize vendor activity.

Payment record and reconciliation

The public form does not collect card or bank information. Registrants select a payment method and may report a transaction or check reference, payment date, and amount. Those details remain subject to verification by the National Registrar or an authorized financial officer. The spreadsheet’s reconciled payment status—not a screenshot or self-reported reference—is Beth-El’s final administrative record.

Personalized attendee graphic

The optional “I’m Attending” graphic becomes available through the secure confirmation link after a Holy Convocation registration is successfully received. The graphic is a public announcement only. It is not an official registration badge or proof of payment, confirmed admission, check-in, or eligibility for the Enthronement Luncheon.

The graphic remains tied to the registrant’s secure confirmation link. The registrant must have permission to use the submitted photograph and may skip the graphic without affecting registration. The photograph is processed in the registrant’s browser, and the completed PNG downloads directly to the registrant’s device. Beth-El does not publish it on the registrant’s behalf.

Information and communications

Registrants must provide current contact information and disclose relevant accessibility or dietary needs. Beth-El may send confirmation, schedule, payment, hotel, safety, attendee-graphic, and event-change notices needed to administer the registration. Optional general communications require the registrant’s separate consent.

Conduct, schedule, and attendance

Registration is personal and may not be transferred without approval. Attendees are expected to comply with Beth-El leadership, venue requirements, safety directions, and lawful standards of conduct. Event schedules, speakers, rooms, and activities may change when ministry or operational circumstances require it.

Refunds and event changes

Refund eligibility is governed by the Beth-El Refund Policy. Hotel reservations and travel arrangements are separate agreements between the attendee and the provider.
